Exhibitor Opportunities

Mingle with approximately 200 family physicians by joining approximately 40 companies exhibiting in the TNAFP annual conference vendor expo.

Exhibit Pricing

Standard exhibit booth: $1500
Nonprofit exhibit booth: $500 (limited to five on a first come, first served basis)

All reduced non-profit exhibitor spaces have been filled. To be added to the wait list, please contact Karen Baird at kbaird@tnafp.org. If space becomes available after the September 30th deadline, we will contact those on the wait list in the order received.

All exhibits include:

• Conference registration for two company representatives ($175 for each additional booth representative)
• Breakfast, lunch and break food and beverage for company representatives
• Skirted 6’ x 30” exhibit table, two chairs, electricity and conference WiFi connectivity

Deadline for exhibitor registration is September 30, 2025. Space is limited. Booths will be assigned on a first come, first served basis.

General Information 

Exhibit setup – Wednesday, October 22, 2025 

• Load-in is permitted through the loading dock, main Conference Center entry doors or Salon 10 entry doors. 
• The dock is at standard service truck height. A pallet jack is recommended for un-loading material.  
• The Salon 10 entry doors lead directly into the Champion Ballroom. The entrance is 7’ 10” high by 7’ 6.5” wide.  

Exhibit breakdown – Friday, October 24th after last break ends at 3:45pm. 

Shipping Information 

• To ensure proper storage and delivery of boxes in a timely manner, any materials being sent to the hotel must be marked individually as follows:

• Multiple boxes/containers should each be marked as follows:
  “(Box number) of (total number shipped)”.  For example: Box 1 of 4, Box 2 of 4. 

Hotel Shipping Policies 

• All packages sent should be labeled as listed above. 
• The hotel asks that shipments arrive no more than (3) days prior to the meeting or event. Shipments received earlier than (3) days prior will be assessed a $25.00 per day storage fee. 
• Hotel will provide delivery to the event location on the date of set up. The Registered Guest/Exhibitor will be asked to sign for all packages before they are released. The Registered Guest/Exhibitor is responsible for all unpacking and set up of exhibit items. 
• At the conclusion of the meeting or event, the Registered Guest/Exhibitor will be responsible for all the dismantling, repacking and sealing of outbound shipments. 
• All outbound shipments will require completed shipping documents, including billing account numbers.   
• All package charges can be placed on a guest room folio or paid for with credit card on-site.

Express Packs / Envelopes: Complimentary 
Box / Container under 25 pounds: $5.00 each 
Box / Container 25 pounds or more: $10.00 each 
Pallets / Freight Items: $50.00 each 

• The Hotel does not accept any liability for equipment, goods, displays or other materials that arrive unmarked or fail to arrive at the Hotel.  The Group is responsible for insuring its property for loss or damage.   

Attendance – At least one representative should manage your booth during breakfast, lunch, breaks, and vendor reception. 

Security – The Vendor area will not be secured at all times. Please do not leave valuable items unattended at any time. TNAFP is not responsible for lost, stolen, or damaged property. 

Cancellation policy – Written cancellations received prior to September 22, 2025, will be honored minus a $50 administration fee. No refunds after September 22. 

TNAFP reserves the right to make any necessary last-minute changes in the Vendor Expo to deliver the best possible experience for conference attendees and partners.
